While all email servers now use a secure connection, if you want to encrypt emails in the Microsoft Outlook desktop client and Outlook on the Web, then you can do so. The process is different, however. Here we are talking about email encyption and not the connection. You can think of it as an extra layer of protection.

How to encrypt emails in Outlook on Windows 11/10

Before we start,  if you use the S/MIME encryption, the sender and recipient must have a mail application that supports the S/MIME standard. Outlook supports the S/MIME standard.  You can either choose to encrypt all the emails, or you can encrypt individual emails. The choice depends on the policy enforcement of the IT department. Also, you should have an S/MIME certificate installed. Make sure to connect with the right person to do so. Once installed, you will have the option available in the digital certificate dropdown in the Outlook.

Encrypt Individual Email

When in the New Email composer, switch to the Options tab

First, check the box which says “Encrypt message contents and attachments.”

Lastly, choose the security label if applicable.

When you send the email, it will be encrypted using this standard.

Note: If you do not have an S/MIME certificate, Outlook client will prompt you to add one. If you cannot, it will not allow you to send an encrypted email.

Encrypt all the Emails

Check the box which says “Encrypt message contents and attachments.”

Choose OK

When you enable this, all your emails will be encrypted. You will have to make sure the receiver also has a client that supports the S/MIME certificate to read the email.

How to encrypt emails in Outlook on the Web

This feature is available only for Office 365 Home or Office 365 Personal subscription. It is useful when you don’t trust the recipient’s email provider to be secure. However, you should clearly understand how these features work; otherwise, the receiver will not be able to read the email or access any content.

Encrypt:

The message stays encrypted and doesn’t leave Office 365.

It will take you Office 365 center where you can verify using either One Time passcode or by signing into Google.

Once verification is complete, the email will be revealed.

Note: An OTP is sent to the receiver’s email.

As you can notice, the email never leaves Office 365 servers. The email is hosted there and allowed to read after verification. If you are using an Outlook client, you will not have to go through the process.

4] Change PR_ATTR_HIDDEN and PR_ATTR_SYSTEM value

This issue in view can occur if the PR_ATTR_HIDDEN or the PR_ATTR_SYSTEM property of the affected folder is set to True. The default value for both mentioned attributes for mailbox folders is False.

This solution requires you to change PR_ATTR_HIDDEN and PR_ATTR_SYSTEM values of the missing folder. Do the following:

Download the MFCMAPI tool.

Unzip the archive package.

Launch mfcmapi.exe.

Select Logon.

Select the Outlook profile for the affected mailbox.

Select OK.

In the left pane, navigate to the affected folder using the appropriate steps below for the type of Outlook profile you are using.

If Cached Mode, navigate to the following:

If Online Mode, navigate to the following:

Next, on the left navigation pane, locate and select the folder that appears missing in Outlook.

Now, on the right pane check the value of the PR_ATTR_HIDDEN and/or PR_ATTR_SYSTEM to determine if it is set to True.

Uncheck the Boolean option.

Close all MFCMAPI windows.

Restart Outlook.

The issue should be resolved now. If not, try the next solution.

5] Perform System Restore

Another viable solution you can try as it relates to specifically the Outlook client installed on your Windows 11/10 computer is to perform System Restore – this is assuming all default folders in Outlook were present at an earlier given time. So, it is possible your system has undergone some changes you are not aware of, or that wasn’t user-initiated; and since you do not know what might have broken the Outlook client functionality on your device, System Restore (any changes like application installs, user preferences and anything else made after the restore point will be lost) is an option you should explore.

6] Set up and use Mail app

Launch the new Outlook app for Windows.

Add a condition. For example, if you want all emails that go into your inbox forwarded, select “Apply to all messages.”

Select an action in “Add an action.” For automatic forwarding, select “Forward to.”

You can also create an automatic forwarding rule in the classic Outlook interface by following these steps:

In Microsoft Outlook, Quick Parts is the ideal way when it comes to automating email responses. This comes as a time-saving feature as of Office 2007 and allows you to store or reuse document elements.

These might include responses to requests for information, document properties, tables, your most used links to resources, or other email content. Well, you’re entitled to think of AutoTex when reading these. Quick Parts pretty much replaces that functionality in older Office versions.

AutoText still exists, but Quick Parts has plenty of extra features and is far more versatile. And it works the same way in all versions of Outlook for Office 365, Outlook 2023, Outlook 2024, Outlook 2013, Outlook 2010, as well as Outlook 2007.

Type the text you want to use in a Quick Part into a new email message.

Highlight the text you want to save as a Quick Part. All of the formatting, images, links, or other content will be stored as part of the Quick Part.

You may now move to the Insert tab.

To create the Quick Part, choose the option to Save selection to Quick Parts Gallery.

Once the Quick Part is created, you can access and reuse it at any time from everywhere.

2. Share Quick Parts in Outlook

You’ll then get the NormalEmail.dotm and Normal.dotm files in the new opening folder.

Now, simply copy these two files from the folder, and paste them in your desired folder.

Once it does, execute the below command on Windows Terminal. The below-mentioned command will reinstall the Microsoft Store.

Once done, you can then download and install the Xbox app from Microsoft Store. You will need to sign in to both apps using the Microsoft account.
